サイドイベント応募要項
サイドイベントとは、「EVO Japan 2025」実行委員会が主催するメイントーナメントとは異なり、有志によって構成されたコミュニティ・団体・サークルなどが主催するさまざまな催しのことです。会場のスペース、機材を貸し出すと共に、実行委員会がその実現をお手伝いします。 さまざまなゲームタイトルのトーナメントや対戦会はもちろんのこと、初心者講習会など企画次第でその内容はさまざま。我こそはという方は、ぜひご応募をお願いいたします。
サイドイベントに参加するには、入場パス（基本セットに含まれます）または入場チケット（１日券／３日間通し券）が必要です。

募集期間：2025年2月3日（月）23：59まで

※応募状況によって、1日（10h）もしくは半日（5h）となります。ご了承ください。
※Day1以外は設営時間も込みの時間となります。
※Day1の設営時間については調整中のため追ってご連絡いたします。
アーケード筐体のご利用を希望される方は、応募の際にお知らせください。
そのほか必要な機材は、企画者側で持ち込んでいただく必要があります。搬入が大規模になる場合はご相談ください。
内容につきましては審査がございます。ご応募いただいても実施いただけない場合がございますのでご了承ください。審査ではイベント全体を管理できる団体を優先いたします。企画はなるべく詳細かつ具体的に記載ください。
■ご利用料金
基本料金：1企画3万円(税込)
Day1実施は1企画1.5万円(税込)
こちらの料金は下記の基本セット付きとなります。
基本セット：入場パス5枚＋長机＋椅子2脚＋モニター1台＋LAN＋電源2口＋ホワイトボード1台（応募者多数の場合は半面での使用となります。）
PlayStation®4、PlayStation®5、Nintendo Switchなどゲーム機の貸出しはございません。
運営の方がメインタイトルに参加する場合は、事前にご相談ください。
アーケード筐体利用の場合はアーケード筐体1セット2台（ブラウン管・液晶問わず）が基本セットに含まれます。
追加の備品、機材の貸出しは可能ですが、別途実費をご負担いただきます。詳細は下記料金表をご参照ください。

■注意事項
・申込は代表者ご自身で行ってください（未成年の場合は親権者等の法定代理人の同意を得た上でご応募ください）。
・代表者は日本国内在住者に限ります。
・審査結果は実行委員会（ドメイン：evojapan.ggもしくはservice-evojapan.gg）から登録メールアドレスにご連絡します。
・会場までの交通費・宿泊費は企画者側のご負担となります。
・サイドイベント主催者が、サイドイベント参加者から参加料等の金品を徴収することは禁止します。
・賞金や賞品の提供は禁止します。
・表彰のためのメダル、トロフィーなどを授与することについては認めます。ただし経済的価値のあるものを混ぜ込むといった行為は禁止します。
・各メーカー様の許諾確認を並行して行うため、選考結果のご連絡にお時間がかかる場合がございます。個別で各メーカー様から許諾を取られている場合は、実行委員会にご連絡ください。
・スペースの都合上、ご参加いただける数に限りがございますことをご理解いただけますと幸いです。
・サイドイベントは各企画者・企画団体が責任をもって実施していただきます。サイドイベントの内容および企画者・企画団体・イベント参加者等の法令違反、危険行為、公序良俗違反等に関して、実行委員会（メンバー企業、役員、従業員、運営スタッフ等を含みます。以下同じです。）は責任を負いません。
・サイドイベント参加者との間のトラブル等は各企画者・企画団体が責任をもって対応するものとし、当該トラブル等に関するクレーム等を実行委員会に対して申し出ないことを参加者にも周知した上で実施するものとします。
・サイドイベントの実施に関して、実行委員会、トーナメントディレクター等の指示があればそれに従うものとし、違反した場合にはイベントの中止等していただく場合があります。
・その他、大会規約に準ずるものとします。
・応募者は、成年年齢に達していること（未成年の場合は親権者等の法定代理人の同意を得たこと）、反社会的勢力やそれに類する者でないことを表明し、保証の上、応募します。

Side Events Application Guidelines
EVO Japan 2025 is looking for community-led side events. Side events are events that are different from the main tournament organized by the EVO Japan 2025 Executive Committee, and are organized by communities, groups, and circles of volunteers. The EVO Japan 2025 Executive Committee will assist in the realization of these events by renting out the venue space and equipment. The content of side events varies depending on your plan. In addition to tournaments and competitions of various game titles, there might also be
beginners' seminars. If you are interested in this, please apply now.
Side events can be held and attended with an admission pass (included in the basic set) or an admission ticket (1 Day / 3 Days Bundle).
*The organizer’s representative must be a resident of Japan.

■Applications
Application period: 23:59 on February 3 (Mon), 2025 (JST)
Available venue hours:
[Day 1] 10:00 – 21:00 (tentative)
[Day 2] 10:00 – 21:00 (tentative)
[Day 3] 10:00 – 16:00 (tentative)
*A whole day (10 hours) or half day (5 hours) will be available depending on the number of applications.
Except for Day 1, the above time includes setup time.
The setup time of Day 1 is being adjusted, so we will let you know later.
Be sure to specify in your application if you want to use arcade cabinets.
The organizer must bring in other necessary equipment. Please inform us if the delivery of the equipment will be large-scale.
Please note that the side event application will be subject to screening. Please understand that not all applications will be accepted.
In the screening process, the Executive Committee will value the ability of the organizer to manage the entire event. Please describe your plan as detailed as possible.
■Fees
Base fee: 30,000 JPY per project.
15,000 JPY per project only on Day 1.
This fee includes the following basic set.
Basic set: 5 Admission Pass + 1 long desk + 2 chairs + 1 gaming monitor + 1 LAN cable + 2 power outlets + 1 whiteboard (If there are too many applicants, only half side will be available.)
PlayStation®4, PlayStation®5, Nintendo Switch, and other game consoles are unavailable for rent.
Please consult in advance if operators of your eventyou want to participate in the main tournament.
For arcade cabinets, the basic set includes one set of two arcade cabinets (CRT or LCD) without an additional charge.
We have some additional equipment and devices for rent with an additional charge. Please read the charge list below.
Ex: Basic set [Mandatory] (30,000 yen) + another long table (1,500 yen) + four pipe chairs (2,000 yen) = 33,500 yen (tax included)
■Notes.
The application must be made by the organizer’s representative himself/herself (if you are a minor, you must apply only after obtaining the consent of your parent or guardian).
The representative must be a resident of Japan.
The Executive Committee (domain: @evojapan.gg or @service.evojapan.gg) will contact you at your registered e-mail address with the screening results.
The organizers have to pay for transportation and lodging themselves.
Collecting money and goods including entry fees from participants for side events is strictly prohibited.
Offering cash prizes or prizes is strictly prohibited.
The organizer is allowed to provide winners with awards of medals or trophies for commendation. However, mixing things of economic value into them is strictly prohibited.
It may take some time to contact you with the results of the screening process, as we will confirm the permission from each game publisher. Please inform the Executive Committee if you autonomously have obtained the game publisher's permission.
The Executive Committee would appreciate your understanding that the number of events would be limited due to space limitations.
Each organizer shall be responsible for the side-event. In no event shall the Executive Committee (including its member companies, officers, employees, operation staffsstaff, etc. The same applies hereinafter.) be liable for the content of the side-event and violations of laws and regulations, dangerous acts, violations of public order and morals by the organizers or participants, etc. of the side-event.
Each organizer shall be responsible for dealing with any trouble, etc. with the side-event participants, and shall carry out the side-event only after informing the participants not to file any claim to the Executive Committee regarding such trouble, etc.
The organizer shall comply with instructions regarding the execution of side-events from the Executive Committee, tournament directors, etc., if any, and we may demand the organizer to cancel the event if the organizer violates such instructions.
In addition to the above, the organizer shall follow the Terms of Service.
By applying, you represent and warrant that you have reached the age of majority (if you are a minor, you have obtained the consent of your parent or guardian.) and you are not an anti-social force or similar person.
